One of the keys to overcoming adversity is to focus on the things you can control. What may sound like personal development advice also fits well in a business setting.
The challenge facing rural healthcare recruiters is a good example. The shortage of provider talent, while affecting the entire healthcare sector, has hit rural healthcare especially hard. Healthcare recruiters can’t control the availability of the talent pool, but they can improve the recruiting process to be in a better position to make an offer when the opportunity permits.
That’s the central thesis behind our Healthcare Workforce Management (HWM) solution. We discovered this business pain through our work with the Healthcare Professional Scholarship Program (HPSP), which is managed by the Veterans Administration. Then we hired a seasoned healthcare recruiter to help us build the product.
The result is a suite of software tools that help shorten the lengthy hiring process for providers. That’s the high-level value proposition. Below are some of the ways specific characteristics of the software add up to help healthcare recruiters accomplish that objective.
1. Automated data collection
Recruiters need to get the right information on the first try. Too often, providers applying to a new position will note they get asked for duplicative information – ranging from basic contact information to credentials – repeatedly throughout the process.
The automation in HWM ensures the right data is collected and validated the first time. It’s then made available for appropriate reuse throughout the hiring cycle. The laws and regulations governing data collection are embedded in the platform, which helps healthcare organizations remain compliant, especially when collecting sensitive information.
2. Workflow management
Any recruiting process will have multiple stakeholders involved. At a minimum, it includes a recruiter, the hiring manager, and the candidate. Most also include an HR manager, various interviewers, and someone in finance who approves the headcount and compensation package.
Workflow orchestrates the involvement of various stakeholders at the right time in the process. This brings transparency, helps stakeholders see where things are held up, and triggers system reminders of individual action items to keep the processes moving along.
3. Efficiently manage job openings
As recruiters begin to use the software, the benefits of a central repository of recruiting information become apparent. Open and closed positions are neatly managed, which leads to better forecasting of future needs, faster headcount approval, and enables recruiters to focus on the core elements of their work.
Instead of reacting to a surprising new vacancy, HWM provides better organization and planning. As a result, the entire organization can take a more proactive approach to provider recruiting.
4. AI-generated job descriptions
As the old saying goes, there’s no sense in recreating the wheel. We’ve embedded generative AI in the product to assist recruiters with writing a job description. Recruiters can polish and edit the final description to their liking, but a solid first draft shortens the time required to complete this task. We are just getting started with generative AI in this product and will be adding other features continuously.
5. Find ideal candidates earlier
We recently added credentialing data from a reputable data supplier to HWM. This provides three key benefits.
First, recruiters can see the “known universe of providers” and identify ideal candidates sooner.
Second, this prevents costly mistakes where a recruiter gets toward the end of a lengthy hiring process only to discover a sanction that prevents them from extending an offer.
Finally, once you’ve hired a provider, the system will continuously monitor the credentials of existing staff. This prevents credentials from lapsing, enforces compliance and provides ample time for a provider to complete recertification.
6. Improves the applicant experience
A streamlined recruiting process brings operational efficiency to healthcare recruiting – but it also improves the application experience. This is important because, as one survey found, 45% of healthcare providers will refuse a job offer if the recruiting experience is disorganized and chaotic. Rural healthcare starts with a smaller pool of candidates from which to hire. Recruiters just can’t afford to eliminate nearly half of that smaller pool before they even begin.
7. Faster onboarding
HWM supports customizable checklist requirements. This helps ensure essential documentation such as a letter of acceptance or a Form W-2 is in place, while also helping to provision office space, parking, computers, badging and system access. Hiring managers and leaders can stay informed of progress through self-serve reporting.
8. Enterprise data integration
Data is the lifeblood of the modern healthcare organization and we made HWM with data integration in mind. More specifically, the system can be easily integrated – and pass data back and forth – with other existing systems that a healthcare organization has already implemented.
9. Industrial strength security healthcare needs
Healthcare facilities, particularly rural healthcare facilities, are susceptible to security vulnerabilities. The National Rural Health Association (NRHA) reported that 60% of rural healthcare facilities have experienced a cybersecurity incident.
Security is a top priority for Intelliworx. As evidence, we’d point to our FedRAMP certification. That program is designed to ensure products used by the federal government meet certain security requirements.
It’s not an easy certification to obtain. Further, while it’s not requisite to serve the rural health community, we believe it brings reassurance that a credible third-party has audited and validated our security standards and processes.
10. Affordability for rural and small facilities
These are uncertain times, and the rural community is underserved. This is particularly true when it comes to technology options for modernization. HWM was designed with cost and accessibility for rural facilities in mind. For many, the product costs less than the cost of just one provider search.
